Introduction
This policy outlines the guidelines and procedures regarding the postponement, cancellation, and expulsion of participants enrolled in courses at Brantford Institute (BI). It aims to ensure clarity, fairness, and consistency in managing such matters, while fostering a positive learning environment for all participants.
Definitions
a) Postponement refers to the rescheduling of a participant’s enrollment to the next available offering of the same course. In this case, participants defer their enrollment without requesting a refund, and no additional charges are applied.
b) Cancellation refers to a participant’s decision to withdraw completely from a course.
c) Expulsion refers to the removal of a participant from the course by BI due to non-compliance with the institute’s guidelines, policies, or code of conduct.
Postponements
- Participants who wish to postpone their course must notify Brantford Institute in writing at least 10 working days prior to the scheduled start date of the course.
- Upon receipt of a valid postponement request, BI will issue an updated letter of acceptance with the revised start date.
- There will be no additional cost for postponing a course, provided the request adheres to the stipulated timeframe.
Cancellations
- All cancellation requests must be submitted using the official cancellation form, available on the BI website. The cancellation form link can also be requested via email.
- Refund eligibility depends on the timing of the cancellation request as outlined in the refund guidelines below.
Refund Guidelines
Before the Course Start Date:
Participants will receive a refund of the course fees; however, a 25 CAD administrative fee will be applied.
After the Program Start Date:
Participants are eligible for a refund of 50% of the course fees, provided the cancellation request is submitted within the first half of the course duration.
No refunds will be issued for cancellations requested after this period.
Homestay Refunds
The homestay placement fee is non-refundable. However, students who wish to change their homestay must provide two weeks’ written notice to the homestay coordinator. In such cases, 100% of unused homestay fees will be refunded.
Refund Processing Time
- All eligible refunds will be processed within 4 to 6 weeks from the date BI receives and approves the written cancellation form.
- Refunds will be issued via the original payment method unless otherwise agreed upon in writing.
Language Policy
Students must communicate exclusively in the language they are studying during school activities to maximize their immersion experience.
Penalties for Violating the Language Policy:
- 1st Offense: Warning
- 2nd Offense: One-day suspension
- 3rd Offense: Three-day suspension
- 4th Offense: Five-day suspension
- 5th Offense: Suspension for one session
- 6th Offense: Permanent suspension from the school
Expulsion
- BI reserves the right to expel participants who violate institute guidelines, policies, or the code of conduct.
- Expulsion may result from, but is not limited to:
- Disruptive behavior that hinders the learning environment.
- Academic dishonesty or misconduct.
- Non-payment of course fees as per the payment agreement.
- Any actions deemed harmful to the institute, staff, or other participants.
- In the case of expulsion, participants will not be eligible for any refund of fees.
